A day in the life with Hosted Unified Comms

9.00am - As a business development manager, Mike is driving to visit a prospective client. He'll be out most of the morning and remembers that his calls are currently directed to voicemail. What equipment do I need?

Firstly, you need a phone - Hosted Unified Comms comes in three parts: a desktop phone, a software phone on your PC and a mobile phone client.
PCs: Windows PCS using SoftPhone+ software, which is easy to download and install.
Supported desktop phones: Snom 300, 320, 360 and 370
Supported Smart phones: BlackBerryTM - Curve, Pearl; HTC - Touch Diamond, Tytn II, X1; Nokia - 5800, E61i, E71, E75, N78, N95; Apple - iPhone (with limited functionality)

What phone numbers can I use?

Gradwell supports every type of UK and international phone number and you can migrate your existing telephone numbers. The purpose of Unified Comms is to have one phone number per person to reach them when and wherever they are. The cost of the phone number is included in the monthly rental package. With international numbers, you can run one phone system for colleagues in different countries. So, your London team can have UK phone numbers, while a colleague in Paris can have a French phone number. If one of you is busy, then naturally the team can take any calls made to their number.

How much does Hosted Unified Comms cost?

£25.00 per user per month. There is no set-up charge.
Optional attendant console costs £8.00 per month per user, while conferencing costs £2.00 per user per conference.
In addition, minute bundles are available in 3 different packages.

Is there a minimum contract?

The initial contract is for three months followed by an ongoing monthly rolling contract.

How many users can I have?

Gradwell's premium broadband supports up to 15 concurrent phone calls per broadband line. If you need lines for more employees, we offer multiple broadband services. If you have many mobile or home-based workers, Hosted Unified Comms can support an unlimited number of users. You can add or remove users as your requirements change by amending your monthly contract.

How are contacts stored?

Contacts are entered in a central company directory shared by all users. You can search for contacts, see a user's status and check line state.
The system also integrates with both your existing Outlook address book and your mobile phone address book to give you a single interface for all address books.

How are messages handled?

Unified messaging combines internet messaging chat, SMS, fax, voicemail and a call recording facility in a single system, so you will have one mailbox for all your phones.

How do I control the way my calls are routed?

You control how each incoming call is handled by using diversion to another number or voicemail based on call type, time of day, day of the week and presence status. The system uses natural language, so you say: “If a call is received and my status is meeting, then send call to voicemail.â€

Can I set up dialling short cuts?

Yes, you can programme short number dialling for contacts you call frequently to save remembering numbers and to speed up dialling.

How versatile will my phones be?

Hosted Unified Comms gives you the same full set of phone functionality on all phones. Whether on desk phone, mobile or laptop, you can put someone on hold, conference call, transfer, or start recording the call. You can also move a call between devices - e.g. if you start the call in the office, you can move it to your mobile phone to carry on the conversation.

How does Hosted Unified Comms work for teams?

You can set up group numbers and call centre services. A receptionist gets an “at-a -glance†view of what everyone in your company is doing and who is free to answer calls. Or you can use automated Call Distribution (ACD) to route the businesses calls to the next available person automatically.

Can I hold teleconferences?

You can set up a conference call for two to five people instantly. You can also initiate a conference in the middle of a call.

Can Hosted Unified Comms keep my phone bills down?

Yes, it uses least cost routing to make sure you pay the lowest possible call charges. Just teach it your mobile phone call costs and it will intelligently work out if it is cheaper to call out from your mobile phone or have the system call you.

How can I monitor system usage?

Hosted Unified Comms provides detailed reports so that you can see how it being used.

How fast can Hosted Unified Comms be set up for me?

Hosted Unified Comms is ordered online and set up via our web control panel - so you can be up and running within a day.
